The Business Case for Expanding Your AV Budget

If you want to amp up the “wow” factor at your meetings and events, you may want to go beyond the basics, which means investing more in the audio visual (AV) technology you use. To that end, the Rental and Staging Network (RSN) recently asked industry leaders to share tips on how to make a case for expanding their AV budget.

Says Eric Newkirk, CEAVCO Audio Visual Vice President of Design and Creative, “We often hear from meeting planners about how they want to ‘up the wow factor.’ The ability to create a wow factor is directly tied to increasing AV spending. If you keep the budget the same, you will run out of options pretty quickly.”

If you want to attract older attendees, consider providing assisted listening devices or live captioning. “It’s money well spent if you’re attracting people who might not otherwise be able to attend a live event due to impairment,” Eric says.

Here’s another tip: the type of event production displays used depends on the size and scope of each event. “If a client is doing a big product launch and it’s a big-risk event with big impact, you’ll want to go with a bigger impact display,” Eric says. “But if you’re giving a business update to internal staff, you can use a lower impact display. It’s also important to consider if myou need to record the event, do video conferencing, or livestream.”

Finally, adding a little to the budget can give you a lot in return for your investment. “It means you can lower your risk and potential for something to go wrong,” Eric says. “If your audience enjoys the experience, can hear and see well, and gets inspired by the message — and nothing gets in the way of technology enhancing the delivery of that message — then the time and money are well spent.”

AV Terms Every Meeting Planner Should Know

Know what a codec is? How about a green room, a mixer, or throw distance?

The professionals at the Rental and Staging Network (RSN) have put together a handy guide to common AV terms. With this list, you’ll be speaking “AV” with confidence. (As an added bonus, the next time you hear the tech team talking about a stage wash, you’ll know it has nothing to do with cleaning the stage!)

The guide includes a downloadable show flow template. The template was developed by RSN members Eric Newkirk of CEAVCO Audio Visual and Steve Halling of AVFX to help planners keep their events running smoothly. You can review the guide to common AV terms and the show flow template at https://rentalandstaging.net/18-av-terms-every-meeting-planner-should-know/.

CEAVCO Expands Its Computer Aided Design (CAD) Capabilities

CEAVCO Audio Visual Project Managers Brett Kolesarek and Emily Sendelbach recently attended Vectorworks training. This investment in our employees adds two new users to the extensive base of Computer Aided Design (CAD) capabilities already at the company.

CAD software is providing great value to CEAVCO’s clients, enabling our team to make recommendations on how an event space can or should be used, as well as helping our team identify important space layout and design challenges and solutions in the event pre-planning stages. Our team and our clients benefit by being able to visualize stage layout, seating sections, video and audio placement, lighting design, and hoist and cable network design.

Vectorworks’ flexible and collaborative design capabilities are regularly used by event production professionals who design room and stage layouts at both large conference centers and sophisticated smaller venues. This versatile, on-premise application provides extensive 2D drafting, 3D modeling, building information modeling (BIM), and rendering capabilities.

Romance Writers of America Conference in New York City

CEAVCO Audio Visual recently provided audio visual production support for the Romance Writers of America (RWA) Conference at the Marriott Marquis in New York City. The conference draws nearly 2,000 career-focused romance writers who seek education and information; network with fellow writers; and interact with editors, agents, publishers, vendors, retailers, and other romance publishing industry professionals.

In addition to the general session and several other main stage events, the show included 12 breakout rooms over several floors. The awards luncheon was a critical piece of the show. Our client wanted this event to look good and needed all video, audio, and lighting to work seamlessly. Just as importantly, our client wanted no surprises. CEAVCO delivered.

A special shout out to CEAVCO Project Manager Emily Sendelbach. Our client praised Emily as a super-organized straight shooter who got right to the point and covered all the important details.

In addition, Ann Chaney, President at The Beau Monde, wrote this about their RWA mini-conference: “Thank you for all Emily and your team did to make our 2019 the Beau Monde Mini-conference and soiree a success. My greatest fear each year is something will go wrong with the sound or the projector. We didn’t have one single glitch all day or evening thanks to Emily and John Safarik. Thank you again. I hope we will see you in San Francisco next July!”

Together, our team — Emily, John, Paul Trotch, Randy Culpepper, and Rick Eichenberger — delivered a great show!

Cinematic Art on the Urban Exterior

Earlier this month, original large-format films were projected on the Dairy Block alleyway in Lower Downtown (LoDo) Denver. For eight nights, the alley was lit up with new Side Stories films – it was quite the engaging, outdoor, urban experience!

CEAVCO Audio Visual’s projection mapping video technology and technical support helped to transform the Denver hotspot into a cinematic work of art. The films were displayed on the CTRL Collective Bridge Window, starting with local artist Ella Vance’s fantasy film “Golden Afternoon” and ending with Boulder photographer Chris Sessions’ “La Familia Charra.”
